The CRM Tax Every ABA Practice Pays
Here’s a workflow that will sound familiar: a family fills out a form on your website. Their info lands in GoHighLevel or HubSpot. Your intake coordinator copies their name, phone number, insurance info, and child’s details into your practice management system. If something changes — a new insurance card, a status update, a note from a follow-up call — someone has to update both systems. Or they don’t, and the data drifts.
This is the CRM tax. You’re paying $97-297/month for a tool that wasn’t built for ABA, then spending staff hours bridging the gap between “marketing lead” and “clinical client.” The CRM knows the family’s name and phone number. Your PM system knows their payer, authorization, and treatment plan. Neither system talks to the other.
For a 30-person ABA practice managing 50-100 active leads at any given time, this isn’t a minor inconvenience. It’s a structural inefficiency that delays intake, drops leads, and costs you families who chose the practice that called them back first.
A Lead Pipeline Built for ABA
StreamABA’s lead pipeline isn’t a CRM bolted onto a practice management system. It’s the front door to the same system where you’ll eventually schedule sessions, write treatment plans, and create claims. The lead becomes the client without a data migration, a CSV export, or a copy-paste.
Drag-and-Drop Kanban Pipeline

Every lead lives on a visual Kanban board, organized into status columns that your practice defines. New Inquiry. Benefits Verification. Waitlist. Intake Complete. Converted.
Drag a card from one column to the next. The status change is recorded with a timestamp, the user who moved it, and an optional reason. Your entire lead history is an audit trail, not a memory.
The columns are fully customizable — labels, colors, icons, sort order. Lock your “Converted” and “Closed” columns so leads can’t be accidentally dragged into terminal states. Toggle column visibility to focus on the stages that matter to your role.
Every Lead Is a Family, Not a Contact
Generic CRMs model leads as contacts — one person, one record. ABA doesn’t work that way. The lead is usually a parent or guardian. The clients are their children. One family might have two or three kids who need services.
StreamABA models this correctly from the start. A single lead record can have multiple client records — each with their own name, date of birth, diagnosis status, PCP, diagnosing provider, and referring provider. When that lead converts, each child becomes their own client profile. The family relationship is preserved, not flattened.
This matters operationally. When a family calls about their second child, you don’t create a new lead. You add a client to the existing one. Their insurance, communication history, and intake progress carry over.
Intake Completeness Score

Every lead card shows a real-time completeness percentage calculated from four checkpoints:
- Patient information added — at least one child/client record with name and DOB
- Insurance on file — primary payer attached
- Benefits verified — VOB completed on the primary payer
- Documents collected — all required documents received or verified
A lead at 25% has a name and phone number. A lead at 100% is ready to convert. You can filter the entire Kanban by completeness range — show me every lead that’s 50-75% complete, so I know who needs one more document or a VOB follow-up.
This replaces the mental load of remembering where each lead stands. The score is computed from actual data, not someone’s estimate.
Bi-Directional CRM Sync
If you’re already running GoHighLevel and aren’t ready to rip it out, StreamABA syncs with it — in both directions.
What Syncs In
New contacts created in your CRM automatically appear as leads in StreamABA. The system maps CRM fields to StreamABA fields using a combination of automatic detection and manual mapping. It knows that GoHighLevel’s “firstName” maps to the lead’s first name, and it can pattern-match custom fields like “Client Name — First Name” to the correct child record.
The sync pulls in:
- Parent/guardian contact info
- Child demographics (name, DOB, diagnosis status)
- Insurance details (payer name, policy number, member ID)
- Lead source (with automatic mapping — a Facebook lead in GHL becomes “Social Media” in StreamABA)
- Pipeline stage (mapped to your StreamABA lead statuses)
What Syncs Out
Status changes, assignment updates, and notes push back to your CRM. Your marketing team sees the lead’s intake progress without logging into StreamABA. Your intake team works in StreamABA without manually updating GoHighLevel.
Configurable Sync Behavior
Not every CRM contact is a qualified lead. Import filters let you require a name, email, phone number, or client name before a synced contact creates a lead. Duplicate handling is configurable per integration — skip duplicates, merge new data into existing leads, flag for manual review, or always create new records.
Polling intervals range from every 5 minutes to every 6 hours, and webhook-based real-time sync is supported for GoHighLevel. If your CRM credentials expire, the integration flags itself for reauthorization rather than silently failing.
In-App Communication
Switching to your CRM to send a text, then switching back to your PM system to log what was said — that’s the kind of friction that slows intake to a crawl.
StreamABA has threaded SMS and email conversations built into every lead profile. Send a text from the lead’s page. Their reply shows up in the same thread. Unread message counts badge on the navigation so nothing falls through the cracks.
Message templates let your team send consistent, professional communications without typing the same benefits verification request or intake form instructions for the hundredth time. Templates support both SMS and email channels.
The communication history travels with the lead. When they convert to a client, their SMS threads and email conversations are preserved. No information lost at the handoff.
Workflow Automation

The leads that convert fastest are the ones that get followed up on the same day. The leads that fall through the cracks are the ones where someone forgot to send the insurance card request after moving them to “Benefits Verification.”
StreamABA’s workflow engine automates the repetitive parts of lead management with trigger-action rules:
Trigger types:
- Status changed — when a lead moves from one pipeline stage to another
- Missing data detected — when a lead is missing patient info, a payer, VOB completion, or required documents
- Document event — when a requested document is received, verified, or rejected
- Time-based — when a lead has been sitting in a status for X days without activity
Action types:
- Create a task — with a title, description, priority, due date, and automatic assignment (to the lead’s assignee, a specific user, or round-robin across a staff role)
- Change lead status — automatically advance or reassign leads based on conditions
- Send a notification — via in-app bell, email, or Microsoft Teams, to the lead’s assignee or a specific team member
Example: when a lead enters “Benefits Verification” and has no insurance on file, automatically create a high-priority task assigned to the intake coordinator with a 1-day due date. If the lead sits in “Waiting on Documents” for 5 days, send a notification to the assigned staff member.
Cooldown timers and execution limits prevent notification spam. Rules with execution history can be deactivated but not deleted, preserving your audit trail.
Waitlist Management
Not every lead can start services immediately. Staff availability, geographic coverage, and scheduling capacity create waitlists — and waitlisted families are the most likely to choose a competitor if they feel forgotten.
StreamABA’s waitlist isn’t a filtered view of your Kanban. It’s a dedicated management tool with:
- Priority levels (high, medium, low) with color-coded urgency
- Waitlist reason tracking — capacity constraints, staff availability, geographic limitation, pending documents, scheduling conflict
- Preference matching — preferred BCBA, preferred location, preferred service area
- Time-on-waitlist indicators — green under 7 days, yellow 8-30 days, red after 30 days
- Automatic availability notifications — when you remove a family from the waitlist, optionally trigger an email letting them know a slot opened
Filter by service area, payer, reason, priority, or client age group. When capacity opens up, you’re not scrolling through a spreadsheet — you’re looking at a prioritized, filterable queue with the context you need to make the right call.
Lead Analytics That Matter
Four real-time metrics with 7-day trend sparklines sit at the top of the pipeline view:
- New This Week — lead volume with week-over-week percentage change
- Open Leads — total active pipeline with trend direction
- Conversion Rate — percentage of decided leads that became clients
- Average Time to Convert — days from lead creation to conversion
When conversion rate drops, you see it immediately — not at the end of the month when someone pulls a report. When a new marketing channel floods you with leads that never convert, the data tells you before you renew the contract.
Lost leads are tracked with structured reasons — not interested, chose competitor, moved, no response, out of service area, insurance not accepted. Over time, this data tells you whether you’re losing families to competitors, to geography, or to your own response time.
What This Replaces
| Capability | Typical ABA Stack | StreamABA |
|---|---|---|
| Lead pipeline | GoHighLevel/HubSpot ($97-297/mo) | Built in |
| SMS/Email to leads | CRM or Twilio add-on | Built in |
| Intake tracking | Spreadsheet or CRM custom fields | Completeness score + conversion checklist |
| CRM ↔ PM sync | Manual data entry or Zapier ($20-50/mo) | Native bi-directional sync |
| Workflow automation | CRM automation (limited to marketing) | ABA-specific triggers + clinical actions |
| Waitlist management | Spreadsheet | Dedicated tool with priority + matching |
| Lead-to-client handoff | Export/import or re-entry | One click — same system |
The cost savings from dropping a standalone CRM are straightforward. The time savings from eliminating manual data transfer are harder to quantify but larger. And the leads you don’t lose because your follow-up was same-day instead of next-week — those are the numbers that actually move revenue.
