Comparison

StreamABA vs LeadSquared

One system from first inquiry to billing, or a CRM in front of CentralReach. Here is how the two approaches compare for an ABA practice.

TL;DR

LeadSquared is a healthcare CRM for intake, marketing and family engagement. Its ABA pages say it works with CentralReach for ABA-specific graphing and analytics, with patient records, appointments, authorizations and billing status syncing between the two. StreamABA is one system: the lead, the intake, the treatment plan, the session data and the claim sit on the same record, so there is nothing to sync.

The Details

What each approach looks like in the parts of the work where the difference shows.

One Record, Not Two Systems

StreamABA. When a family fills in your web form, StreamABA creates the lead. Your coordinator checks eligibility, collects documents through secure links, and converts the lead to a client with one click. That same record then carries the treatment plan, the session data, the authorization units and the claim. There is no sync to set up or watch, and no field that means one thing in the CRM and another in the EHR.

LeadSquared. LeadSquared's ABA clinic page lists CentralReach as a confirmed two-way integration and says patient records, appointments, authorizations and billing status flow automatically between the CRM and the EHR. That is a real integration, and it still means two products to configure and train staff on, with a sync carrying every handoff between them.

Intake and Family Follow-Up

StreamABA. Leads arrive through a hosted form that needs no login, a lead capture API for your own website, or a two-way GoHighLevel sync. Follow-Up Sequences send timed texts and emails built from your message templates, started by a lead or intake workflow rule. A sequence stops when the family texts back or calls, when the lead converts or is marked lost, or when staff unenroll it. Steps that come due during Quiet Hours wait until Quiet Hours end, and a family that opted out of a channel gets nothing on it.

LeadSquared. LeadSquared advertises automated first-response sequences, AI auto-responses, and an AI chatbot that captures and qualifies web inquiries around the clock. Its intake pipeline runs from referral received through documents, insurance verification, assessment and authorization to treatment started, and it offers AI lead scoring it calls Conversion Propensity.

Clinical Data Collection

StreamABA. StreamABA collects 13 data types, from DTT trials and frequency to interval recording, task analysis and latency. Mastery criteria, automatic phase progression and phase change tracking run on that data, and the graphs sit on the client's programming. Session notes, treatment plans and progress reports draw on the same records.

LeadSquared. LeadSquared's ABA data collection page describes data collection forms and session notes. It also states that LeadSquared does not include ABA-specific data visualizations such as automated phase-change markers, goal-based tracking charts, and behavior-specific graphing. For those, and for automated mastery criteria and program-level analytics, it points practices to its partner CentralReach.

Scheduling and Authorizations

StreamABA. The scheduler checks for conflicts, authorization limits, credentials and supervision before an appointment saves, and matches staff to clients. Authorizations track units against their limits, project when they will run out, raise low-authorization alerts, and move through pipeline boards for renewal.

LeadSquared. LeadSquared matches clients with therapists on availability, certification, location and custom criteria. Its workflows can email the family and create a coordinator task when an authorization is 30 days from expiring, or when 80% of authorized hours are used. Its ABA scheduling page says session records, authorization statuses and billing data flow between LeadSquared and your EHR.

Billing

StreamABA. A completed session becomes a claim line with no re-entry. The payer rules engine applies modifiers, NCCI edits and MUE limits, StreamABA generates the 837P file, and you post ERA/835 remittances from an uploaded file. AR aging, denial management and patient statements are in the same place.

LeadSquared. LeadSquared describes its billing role as streamlining “the administrative workflows that support billing”: referrals, authorizations, intake and client communication. Its CentralReach integration carries billing status between the CRM and the EHR.

Where LeadSquared Is Strong

LeadSquared has marketing tools StreamABA does not: email, SMS, Google Ads and Facebook/Instagram campaigns from one platform, an AI chatbot, and AI lead scoring. It also integrates with several EHRs besides CentralReach, including AdvancedMD and SimplePractice. If you already run CentralReach and want a stronger front office in front of it, that is the job LeadSquared is built for.

Honest fit

Who Should Choose What?

It depends mostly on whether you want to keep your current EHR.

Choose StreamABA If You…

  • Want intake, clinical data, scheduling, authorizations and billing in one system
  • Would rather not maintain a sync between a CRM and an EHR
  • Want new families followed up by text and email without anyone remembering to
  • Want eligibility checks and authorization tracking on the same record as the lead
  • Need a family portal for messaging, e-signing and progress charts

Choose LeadSquared If You…

  • Already run CentralReach and plan to keep it
  • Want to run email, SMS and paid ad campaigns from your CRM
  • Want an AI chatbot and AI lead scoring on website inquiries
  • Run specialties beyond ABA and want one CRM across them
